Booking Terms

The Haystack on Homestead values its guests’ experiences from booking to check-out, and we appreciate the cooperation of our guests in this regard. The following policies are currently in place. We reserve the right to change these at anytime.

Check-in and Check-out Policy:

Check-In Period: 14h00 – 17h00     Check-Out: By 10h00

At its sole discretion, management will always give consideration to early check-in or late check-out requests, but these are subject to availability and can only be confirmed on check-in/check-out date. A levy may be applicable in certain instances. 

Check-ins after 17h00 will be gladly facilitated without charge as long as an estimated arrival time is confirmed and agreed to prior to 17h00 on the day of arrival. Unannounced arrivals beyond the check-in period may experience a considerable check-in delay and the application of a discretionary late check-in surcharge of R200.00 (Two Hundred Rands) payable before check-in. 

A No-show is defined as a guest who has not arrived by 18h00 and no communication has been received from such guest.

A valid identification documentation is required at check-in as follows:

a.     South African residents - ID/Passport/Drivers License

b.     Non-South African residents - Passport with valid immigration entry stamp.

Guests agree to us making a copy of this documentation for our records.  

Deposit Policy:

Full payment is required for 2-night stays or less and is non-refundable in all instances.

Reservations for three nights or more will require the payment of 50% of the total cost of the reservation.

Payments must reflect in our account for reservations to be valid. Payments may be made by any channel, but all bank charges will be to the account of the guest/s. 

Cancellation Policy:

The following cancellation policy applies to reservations of 3-night stays or more:

a.     21 days or more from arrival date – full deposit refund

b.     Less than 21 days but more than 14 days from arrival date – 85% deposit refund

c.      Less than 14 days but more than 7 days from arrival date – 75% deposit refund

d.     7 days or less from arrival date – 50% deposit refund

e.     24 hours or less – no refund whatsoever

The person who made the reservation must make all cancellation requests in writing. No cancellation requests will be entertained for 2-night stays or less. A minimum cancellation levy equivalent to the daily rack rate of the applicable apartment is payable for reservations of 5 nights or more. This is to cover our administrative charges and will be deducted from the balance of the deposit refund. No cancellation requests will be entertained for No-shows and stays that have/should have already commenced. Refunds will only be made into the same bank account/credit card from which payment was received and only after deposit payment reflects in our account.

Pre-authorisation/Loss Policy:

In order to safeguard our property and assets placed at the disposal of our guest, it is essential that we pre-authorise an amount on a credit/debit card to cover any losses we may incur. Currently, this amount is R1,000.00 (One thousand Rands). Guests agree to pay a refundable cash equivalent should a card pre-authorisation not be possible.

Until we secure the pre-authorised amount, we unfortunately are unable to make our apartment available and our cancellation policy will apply. A full explanation of the pre-authorisation policy is available on request.

All damages/breakages/loss in our apartments will incur a charge.

Card Payments:

As a safeguard against fraudulent card transactions, card payments will only be accepted from guests who present a card in their names. Should a third party have made a booking, the following will be required from this party before payment is processed against the details provided on the payment card – i. written confirmation to process the payment using the card, ii. a copy of this party’s identity document and iii. a copy of the relevant credit card (back and front).

We make every effort to ensure that you remain safe and secure within our premises. Our Indemnity and Liability Disclaimer displayed at the entrance applies upon entry into our premises.

Notwithstanding, you have an obligation to draw our attention to any unsafe act/s and any other observed acts of negligence, wrongful acts, omissions or otherwise upon entry into our premises and/or whilst using any of our services, facilities or amenities. We hold ourselves harmless for any claims arising whatsoever and howsoever should you not carry out this obligation.
